CanAm Trucking Solutions Inc. (“CanAm”, “we”, “us”) provides trucking safety, compliance and permit services, and the CanAm Compliance Portal, to carriers in Canada and the United States. This policy explains what personal information we collect, why, and how we protect it. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial and US laws.
1. Information we collect
From our website. When you request portal access or a compliance review, we collect your company name, your name, email, phone number, province or state, fleet size, the services you're interested in and anything you write in the message box.
In the CanAm Compliance Portal. To manage a carrier's compliance we hold: login details (name and email) for portal users; company details (legal name, location, safety numbers such as NSC, SFC, CVOR, USDOT and MC); driver information (name, licence or CDL number, class and issuing province or state, phone, email); compliance documents uploaded by us or the carrier (such as licences, abstracts or MVRs, medical certificates, inspection reports, registrations and insurance) with their issue and expiry dates; truck and trailer details; and roadside inspection and accident records.
Driver job applications. When a driver applies to a carrier through a CanAm application link, we collect what the driver enters on the application for that carrier: name, date of birth, contact details and addresses, licence details, driving experience, accidents and traffic convictions, employment history and contacts for past employers, answers required by safety regulations (such as US DOT drug and alcohol testing questions), the documents the driver uploads (such as a licence, abstract or MVR, medical card and resume), and the driver's electronic signature with the date, time and IP address of signing. We do not ask for a Social Insurance Number or Social Security Number on the application.
Phone calls. When you call our toll-free number, we keep a record of the calling number, the time, which option you chose and how long the call lasted. If you leave a voicemail, we keep the recording so we can call you back. We do not record conversations.
For text message reminders. The mobile number of each person who agrees to receive reminders, and the date they agreed. See our Text Message Terms.
Technical information. When you sign in, we use cookies only to keep you signed in securely. We do not use advertising or tracking cookies. Our hosting provider keeps standard server logs (such as IP address and time of request) for security.
2. How we use it
- To provide our compliance, safety and permit services and the portal;
- To track document expiry dates and send reminders by text message to people who have agreed to receive them;
- To prepare audit and compliance reports for the carrier;
- For driver applications: to deliver the application to the carrier the driver applied to, to verify employment, experience and safety history with past employers, to request insurance approval for the carrier, and to check the application's accuracy against other applications the same driver has submitted through CanAm. Applications are never shown to other carriers. The carrier makes all hiring decisions;
- To respond to requests submitted through our website; and
- To meet our legal and regulatory obligations.
We do not sell personal information, and we do not use it for advertising.
3. Consent
Carriers that use our services are responsible for having the consent of their drivers and staff to share their information with CanAm for compliance purposes. We collect only what is needed for those purposes. Text message reminders are sent only to people who have agreed to receive them, and anyone can withdraw that consent at any time by replying STOP.
4. Who we share it with
We share personal information only with service providers that help us run the portal, under agreements that require them to protect it:
- Supabase: database and secure file storage, hosted in Canada (Montreal region);
- Vercel: website hosting; requests may be processed on servers outside Canada;
- Twilio: text messages, phone calls and voicemail, processed in the United States;
- Resend: delivery of emails sent by the portal (such as reference requests), processed in the United States.
Some of this processing happens outside Canada, where the information may be accessible to authorities under local law. Within a carrier's account, information is visible only to that carrier's authorized users and to CanAm staff. We may also disclose information when required by law, for example to a regulator during an audit at the carrier's request.
We do not share or sell mobile phone numbers or text message consent with any third party or affiliate for marketing or promotional purposes.
5. How we protect it
- All connections to the website and portal are encrypted (HTTPS);
- Each carrier can see only its own records; access rules are enforced by the database itself;
- Uploaded files are kept in private storage and opened only through short-lived, signed links; and
- Portal accounts are created only by CanAm; there is no public sign-up.
6. How long we keep it
We keep information for as long as we provide services to the carrier and as needed to meet legal record-keeping requirements, such as driver qualification file rules under the National Safety Code and FMCSA regulations. Driver applications are kept for 5 years from the date they are signed. When it is no longer needed, we delete it or make it anonymous.
7. Your rights
You may ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent (subject to legal or contractual limits). Contact us at the address below. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
